Refunds

In this article
The short answer

Open the invoice, click Payments & refunds, and click Refund next to the payment. You can refund all of it or part of it, and refund the same payment more than once until nothing is left. A card or bank payment is returned to the customer through Stripe. A cash payment is only recorded as refunded: you hand the money back yourself.

Refund an invoice payment

  1. Open the invoice. Once a payment has gone through, it shows a Payments & refunds button.
  2. The Payments & refunds window shows the Invoice total, what was Paid, what was Refunded and what is Left to refund, with one row per payment.
  3. Click Refund on the payment you want to give back.
  4. Type the Amount to refund. To work it out from the invoice lines, use Pick invoice items to calculate the amount. This only fills in the amount; it doesn't change the invoice.
  5. Check Sales tax in it. Use the payment's share fills in the tax that belongs to this amount.
  6. Choose a Reason: Requested by customer, Service not completed, Pricing error or Other. With Other, type it in Tell us the reason.
  7. Read After this refund. It shows what will be left on the payment and on the invoice, the revenue and sales tax reversed, and the amount Back to customer.
  8. Click Refund $… (the button shows the amount).

You see "Refund completed" when it's done. "Refund submitted" means Stripe is still confirming it; it finishes on its own. Either way you're taken back to the invoice.

Appointment payments and recurring payments have a Refund button on the payment row, which opens the same refund window. For an appointment, open its PAYMENT step: the row is under Payments.

What changes after a refund

RefundedWhat happens
Part of a paymentThe payment and the invoice show Partially refunded.
All of itThe invoice shows Refunded, and the payment row shows Fully refunded.
Only a depositIf the deposit was the only payment, the invoice becomes Voided.

The customer gets the built-in Payment refunded email. You can also start your own automation when a payment is refunded.

Fees on a refund

When you refund an invoice payment, BizBaby gives back its own share of the fee for that refund. See Payouts and fees explained for how fees work.

Common problems

  • There is no Payments & refunds button. The invoice has no completed payment yet.
  • Refund is greyed out. That payment has already been refunded in full.
  • "Only $… is left on this payment — the refund was capped there." You typed more than is left. BizBaby lowered the amount to what's left.
  • "A refund is already processing for this payment." Wait for the earlier refund to finish, then refund again if needed.
  • "Enter a positive refund amount with no more than two decimal places." Type a number such as 45.50.
  • "Enter the reason for this refund." You chose Other. Fill in Tell us the reason.
